Outlook Email Setup

OK, folks there are a lot of different versions of Outlook “out there” and these settings are specific to my hosting plan but you should find this useful in most situations, just understand you should use the specific settings provided by your ISP and they should look something like this:
Mail Server Username: sam+yourwebaddress.com
Password: YourP@ssw0rd
Incoming Mail Server: mail.yourwebaddress.com
Incoming Mail Server: (SSL) rsb23.rhostbh.com
Outgoing Mail Server: mail.yourwebaddress.com (server requires authentication) port 26
Outgoing Mail Server: (SSL) rsb23.rhostbh.com (server requires authentication) port 465
Supported Incoming Mail Protocols: POP3, POP3S (SSL/TLS), IMAP, IMAPS (SSL/TLS)
Supported Outgoing Mail Protocols: SMTP, SMTPS (SSL/TLS)

You only need the Mail Server Username, Password, and an Incoming and Outgoing Mail Server address and port to configure an email address. In this example, you have two options for incoming and outgoing mail servers. Plain vanilla which in this case is mail.webaddress.com and SSL (which I’ve highlighted in Red) use these settings if you want the added security of having your email communications encrypted to the mail server. Please note that these settings are for example only yours will certainly be unique to your email address.

In this case we are going to use the plain vanilla Manual Settings for simple POP3 mail setup for “sam@yourwebaddress.com” with the password: “P@ssw0rd1

Mail Server Username: sam+yourwebaddress.com (note each user name is just your email address with a + instead of a .)
Incoming Mail Server: mail.yourwebaddress.com
Outgoing Mail Server: mail.yourwebaddress.com (server requires authentication) port 26

Step 1) Open Outlook Select File And Click Add Account

Step 2) Select Manually Configure Server Settings And Click Next

Step 3) Select Internet E-mail and Click Next

Step 4) Fill in your login and password information, note your setting will be different than the above image. But the formatting will be the same
User Name: is just the name you want outlook to assign to the address it can be anything e.g. Work, Emails, Your Name, Your Email Address whatever…
E-mail Address: Is your email address with no capitalizations

Account Type: Set this to POP3

Incoming Mail Server: Set this to mail.yourwebaddress.com

Outgoing mail server (SMTP) mail.yourwebaddress.com

User Name: Is the same as your email address EXCEPT it uses a + instead of the @ sign on my hosting server (your settings could very well use the @ sign so just copy the information as you are given it.)

Password: Is the password, again, exactly as it is given to you.

Check the Box Marked Remember Password

Step 4) Click More Settings

Step 5) Click the Outgoing Server Tab and Check the box My outgoing server (SMTP) requires authentication and click Use same settings as my incoming mail server.

Step 6) Click the Advanced Tab and set the ports as specified (in this case 110 and 26 but your mileage may vary…) and be sure to set the Delivery Option to leave a copy of messages on the server for no less than 14 Days (trust me on this one) then click the OK button.

Step 7) You can test the account settings or click next.  Your email account is now set up.

Outlook will run Test Account Settings as soon as you hit next and will Log onto the incoming mail server and send a test message if either of  these should fail check your settings again look at the screen images I provided and compare what you typed. Note these settings are for my hosting servers specifically so don’t count on this working for any ol’ ISP. Make sure you entered the login information exactly as  your hosting company specified  because even the smallest deviation e.g. using the @ sign instead of + will result in failure. So be fastidious about this and you won’t have a problem.
